Access Requests Overview

Learn how access requests streamline external user onboarding in Foreman, from form submission to approval and automatic project access provisioning.

What are access requests?

Access requests in Foreman provide a structured way for external users — such as subcontractors, consultants, and partners — to request access to your Autodesk Construction Cloud projects. Instead of manually collecting contact details and assigning roles through email threads, you can publish a form that captures everything you need and routes it through a defined approval workflow.

How the workflow works

The access request lifecycle follows four stages:

  1. Request — An external user fills out a public access request form with their details, company information, and the roles they need. No Foreman account is required to submit a request.

  2. Review — Project administrators receive a notification that a new request is waiting. They can view all submitted information, verify the requester's identity, and check their company credentials.

  3. Approve or Reject — The reviewer either approves the request (optionally adjusting the assigned roles) or rejects it with a reason. Bulk approval is available when processing multiple requests at once.

  4. Provision — Once approved, Foreman automatically provisions the user in the relevant ACC project with the correct roles and permissions. The requester receives an email confirmation with instructions for accessing the project.

Access requests are project-scoped. Each project can have its own form with different questions, role options, and approval rules.

Benefits for project onboarding

  • Self-service — External users submit their own details, reducing administrative back-and-forth.
  • Consistent data — Every request captures the same required fields, so nothing is missed.
  • Audit trail — All requests, approvals, and rejections are logged with timestamps and reviewer information.
  • Speed — Auto-approval rules can instantly grant access to trusted email domains, cutting onboarding time from days to seconds.
  • Security — Reviewers verify each request before access is granted, and rejected requests are recorded for compliance.

Combine access request forms with auto-approval rules to fully automate onboarding for known partner organisations. See the auto-approval article for setup instructions.
