Sharing Public Access Request Forms
Learn how to generate, share, and manage public access request form links so external users can submit requests without needing a Foreman account.
Generating a public link
Once your access request form is published, you can generate a public URL that anyone can use to submit a request — no Foreman account required.
- Open the Access Requests section for your project.
- Click Share Form to reveal the public link panel.
- Copy the generated URL to your clipboard.
Public form links do not require authentication. Anyone with the link can view and submit the form. Share the link only with intended recipients or through controlled channels.
No login required for requesters
External users who open the public link see the form immediately without being prompted to sign in or create an account. This removes friction for subcontractors and partners who may not have (or want) a Foreman account. All they need to do is fill in the required fields and submit.
After submission, requesters see a confirmation message and receive an email acknowledging their request.
Managing the link
Disabling a link
To temporarily stop accepting new requests, toggle the form status to Inactive in the Access Requests settings. The public URL will display a message explaining that the form is currently closed. Existing submissions are not affected.
Regenerating a link
If you need to invalidate an existing link (for example, if it was shared more broadly than intended), click Regenerate Link. This creates a new URL and immediately deactivates the old one. Anyone using the previous link will see a "form not found" message.
Regenerating a link is irreversible. Make sure to update all places where the old link was shared before regenerating.
